Colombia Smile Studio is the public-facing brand of Colombia Smile Studio LLC. We operate this website to provide information about veneers and care in Colombia, respond to requests, and provide the services described on the site.

2. Information we collect

We may collect information you provide directly, including name, email address, phone number, city, state, country, preferred consultation time, form responses, quiz responses, messages, smile goals, treatment interests, timeline, travel interest, budget comfort, photos, or dental information you choose to submit.

We may also collect technical and usage information, including IP address, device type, browser type, pages visited, referring website, UTM parameters, campaign source, form activity, booking activity, and approximate location derived from technical data.

3. How we use information

We use the information you provide to fulfill your requests, send requested guides and smile-preview links, respond to questions, coordinate requested consultations, and operate our website and customer records. We also use technical information to measure website performance, understand how visitors find us, prevent misuse, and meet legal obligations. Providing a phone number does not by itself authorize text messages. Our SMS choices and limits are described below.

4. Health and dental information

If you choose to share dental photos, health details, dental history, or treatment goals, we use that information for consultation, planning, communication, and related operational purposes.

Submitting information through this website does not establish a dentist-patient relationship. A dentist-patient relationship, diagnosis, or treatment plan can only be established through appropriate clinical review and agreement with the treating provider.

5. Optional text messages

If you separately choose SMS consent on a form, Colombia Smile Studio LLC may send non-marketing texts about your requested guide, smile preview, consultation or appointment, including replies to your questions. Message frequency may vary. Msg & data rates may apply. You can submit forms and receive services without agreeing to texts. Requested information and smile-preview links can also be delivered by email.

Reply STOP at any time to withdraw SMS permission, or HELP for assistance. We record your choice, the time it was recorded, the page and form used, the number covered, and the wording shown. We use these records to honor your choices and document permission. SMS consent does not authorize promotional messages.

6. Cookies, analytics, and tracking

We may use cookies, pixels, analytics tools, CRM tracking, and similar technologies to understand website performance, attribute requests, personalize follow-up, and improve marketing. You can control cookies through your browser settings. Some features may not function correctly if cookies are disabled.

7. Sharing and SMS information

We work with service providers to operate this website, manage customer requests, process requested previews, and deliver communications. They may process the information needed for those tasks on our behalf. We also share request details with the treating dental clinic, Odonto Super, and coordinators to arrange requested consultations, subject to the SMS information limits below. We may also disclose information when required by law. Any sharing described elsewhere in this policy is subject to the following limits for mobile information and text-message consent.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. SMS permission is not transferred to another business.

8. International considerations

Colombia Smile Studio may involve communication with teams, providers, or coordinators located outside the United States, including Colombia. By submitting information, you understand that your information may be processed or accessed in the United States, Colombia, or other locations where our service providers operate.

9. Data retention and security

We retain information for as long as needed to respond to inquiries, manage consultations, operate the business, comply with legal obligations, resolve disputes, enforce agreements, and maintain records. Retention periods may vary based on the type of information and applicable requirements.

We use reasonable administrative, technical, and organizational safeguards to protect information. No website, CRM, email, SMS system, or internet transmission can be guaranteed to be completely secure. Please do not submit sensitive information unless requested through an appropriate secure process.

9a. Smile-preview photos

We use the selfie you submit to create your requested smile preview. Processing uses Google Vertex AI through Vercel AI Gateway with zero-data-retention routing enabled for the image request. This processing setting is separate from the storage needed to deliver your preview.

We keep the uploaded selfie, generated preview and working image files in private storage. Your private viewer link can be opened more than once and expires seven days after your request. After 7 days they can no longer be viewed, and they are deleted in our next cleanup. Anyone who has your private link can use it until it expires or access is removed, so please do not share it.

GoHighLevel handles your contact information and delivery email, including the private viewer link. We do not place the selfie or generated image in GoHighLevel's public media library. Deleting our stored images does not remove copies you have saved yourself.

10. Your choices and contact

Depending on your location, you may have rights to request access, correction, deletion, restriction, or portability of your personal information. You may also have rights to opt out of certain marketing communications or targeted advertising.
